Time Off Schedule™ is operated from New Brunswick, Canada. This policy covers this marketing website (www.timeoffschedule.com) and the application at app.timeoffschedule.com. We've written it to be read, not to be skimmed past.
What we collect on this website
- What you type into a form. Our contact and setup forms ask for your name, centre name, email address, phone number, and whatever you write in the message field. We only get this if you submit the form.
- Basic usage analytics. Pages visited, referring site, approximate region, browser and device type. We use this to understand which pages are useful.
What we collect in the application
If your organisation uses Time Off Schedule, we hold the information needed to run it: staff names, work email addresses, mobile numbers for SMS notifications, hire dates, time-off balances, requests and their approval history, and any notes or documents attached to a request — which may include medical notes your employer asks staff to provide.
Your employer controls that account and decides what goes into it. For that data we act as a processor on their behalf: if you're an employee and want your information changed or removed, start with your employer, and contact us if that doesn't resolve it.
Why we collect it
- To operate the product you or your employer signed up for.
- To send the SMS and email notifications the product exists to send.
- To reply when you contact us.
- To bill you, if you're a paying customer.
- To understand which parts of the site are worth keeping.
What we don't do
- We don't sell your information. Not to advertisers, not to data brokers, not to anyone.
- We don't share your staff data between organisations. Each account is separate.
- We don't send marketing SMS. Text messages exist to move time-off requests along, nothing else.
- We don't use your data to train machine learning models.
Who we share it with
Only the service providers required to run the product, and only to the extent they need it: our hosting and database provider, our SMS delivery provider, our email delivery provider, our payment processor (which handles card details directly — we never store card numbers), and our analytics provider. We may also disclose information if the law requires it.
Cookies
This site uses cookies and similar storage for analytics, and the application uses them to keep you signed in. Blocking cookies in your browser will not stop you from reading this website, though it will stop the application from keeping you logged in.
Where your data lives, and for how long
Data is stored on servers operated by our hosting provider. We keep customer account data for as long as the account is open, and for a reasonable period afterwards so an account can be reactivated and so we can meet tax and accounting obligations. Enquiries sent through a contact form are kept so we can follow up and refer back to the conversation. Ask us to delete something and we'll delete it, unless we're legally required to keep it.
Your rights
You can ask us what we hold about you, ask for a copy, ask for a correction, or ask us to delete it. Email or call and we'll handle it — there's no form to fill out and no department to escalate through. If you're in a jurisdiction with specific privacy rights (Canadian PIPEDA, the UK or EU GDPR, or a US state privacy law), those rights apply and we'll honour them.
Children
Time Off Schedule is a tool for staff, not for children or families. We don't knowingly collect information from anyone under 16, and no child records are stored in the product.
Changes
If this policy changes in a way that matters, we'll update the date at the top and, for material changes, tell account holders directly.
