Why off-the-shelf time-off software gets this wrong

Most time-off tools are built around one country's assumptions, then sold everywhere. You end up bending your policy to fit the software — renaming categories that don't apply, tracking a balance the tool calculates differently than your payroll does, and keeping a side spreadsheet for the parts it can't handle.

That's backwards. Your entitlements come from your employment standards, your licensing body, and your own staff handbook. The software's job is to match them, not the other way around.

What changes from one jurisdiction to the next

How vacation accrues

Percentage of earnings, days per month, or a flat annual grant on an anniversary date. Some places change the rate with years of service. We set yours up the way your payroll already calculates it.

Paid vs. unpaid sick leave

How many days, whether they're paid, when they reset, and at what point a medical note can be requested — all of it varies. Each category gets its own rules.

Carryover and payout

Use-it-or-lose-it, capped carryover, or paid out on the anniversary. Set the ceiling and the reset date once and balances roll forward correctly every year.

Statutory and civic holidays

Different lists, different dates, different closures. Your holiday calendar gets loaded so nobody burns a vacation day on a day you're already closed.

Coverage minimums per room

Licensing ratios differ by region and by room age group. You work out the headcount each room needs; we set that minimum per room so requests below it are blocked before they reach you.

Leave types you're required to offer

Bereavement, family responsibility, domestic violence leave, jury duty — the required list isn't the same anywhere. We build the categories you need and leave out the ones you don't.

What happens after you sign up

You don't configure anything to get started. This is the onboarding, and it's included in the $99.

    We ask where you operate

    Your province, state, or country, how many staff, and how many rooms. If you have a staff handbook or a policy document, send it along — that's usually all we need.

    We build your rules for you

    Leave types, accrual rates, carryover caps, notice periods, coverage minimums, and your holiday calendar — configured to match your policy. Not handed to you as a blank template.

    We check the numbers against yours

    We load your current balances and compare them to what you have on record. If the two don't agree, we sort out why before you go live — not after your team starts asking.

    Your team starts using it

    Staff submit from their phone. You approve from a text. If your rules change later — and they will — you can edit them yourself, or email us and we'll do it.

One honest note

We're daycare operators and software people, not employment lawyers, and none of this is legal advice. We don't tell you what your obligations are — you bring the policy you and your regulator have settled on, and we make the software follow it exactly. If you're unsure what your jurisdiction requires, talk to an employment lawyer or your licensing body first. We're glad to build around whatever they tell you.
